Reusable Rule Templates

Create, save, and reuse groups of Redaction or Transformation rules in DocAnax.

1. Overview

DocAnax allows users to create Rule Templates for Redaction and Transformation. A Rule Template is a named collection of rules that can be saved and reused for different documents or different purposes.

For example, a company may frequently need to protect customer information:

Customer Name       → [CLIENT]
Contact Number      → [CO_1_CONTACT]
Customer ID         → [CO_1_ID]
Email Address       → [CO_1_EMAIL]

Instead of creating these rules repeatedly, the rules can be saved as a reusable template. This is particularly useful when the same rules are applied to many documents or when different rule sets are required for different document versions.

2. What Is a Rule Template?

A Rule defines one transformation from original text to new text. A Rule Template is a named collection of these rules.

Rule

Apple → [TECH_CO]

A single original-text to new-text definition.

Rule Template

Customer Privacy

Customer Name  → [CLIENT]
Contact Number → [CO_1_CONTACT]
Customer ID    → [CO_1_ID]

A named collection of related rules.

Tip: Give each template a meaningful name that describes its purpose rather than the individual rules it contains.

3. Create a Rule Template

Open the Rule Editor from the Redaction or Transformation settings and create the rules required for the intended purpose.

For example:

Apple               → [TECH_CO]
0233556688          → [CO_1_CONTACT]
ABC-2026-001        → [PROJECT_1]

Enter a Template Name for the rule set. For example:

Customer Privacy

The template name makes the rule set easier to identify when multiple templates are available.

Recommended Template Names

Customer Privacy
Financial Information
HR Confidential
External Sharing
Project Alpha

After saving, the template can be reused without recreating the individual rules.

4. Insert a Rule Template

A saved Rule Template can be inserted into the current Rule Editor. Inserting a template adds its rules to the current rule set.

For example, the current rules may contain:

Apple → [TECH_CO]

Insert the Customer Privacy template:

Customer Name      → [CLIENT]
Contact Number     → [CO_1_CONTACT]
Customer ID        → [CO_1_ID]
Email Address      → [CO_1_EMAIL]

The current Rule Editor can then contain both the existing rule and the inserted template rules.

Inserted rules become part of the current rule set. Review the resulting rules before applying them to a document.

5. Use Rule Templates with Layered Redaction

Rule Templates are especially useful for Layered Redaction, where different versions of a document may require different sets of information to be protected.

For example, an organization may prepare separate rule templates for different types of confidential information:

Customer Privacy
Financial Information
HR Confidential

A suitable template can be inserted when preparing a particular document version. Additional rules can also be added for the specific document.

This makes it easier to maintain consistent rules while still allowing individual document-processing tasks to be customized.

6. Import a Rule Template

A previously exported Rule Template can be imported for reuse. Importing is useful when you want to move a prepared rule set between environments or restore a template that was saved previously.

Typical uses include:

  • Moving rules to another computer
  • Reusing rules for another project
  • Sharing a prepared rule set
  • Restoring previously prepared rules
  • Maintaining standardized rule sets
After importing a template, review its name and rules before using it for document processing.

7. Export a Rule Template

A Rule Template can be exported so that it can be stored and imported later.

For example:

Customer Privacy

can be exported as a reusable rule set. The exported template can later be imported when the same group of rules is required.

Exporting also provides a convenient way to maintain a collection of prepared templates for different projects or document-processing tasks.

8. Redaction and Transformation Templates

Rule Templates can be used with both Redaction and Transformation.

Redaction

Replace sensitive information with protected placeholders.

Apple
→ [TECH_CO]

0233556688
→ [CO_1_CONTACT]

Transformation

Replace existing content or placeholders with new values.

[TECH_CO]
→ Example Technology Ltd.

[CO_1_CONTACT]
→ 062335668

The same reusable-template concept can therefore support different stages of a document-processing workflow.

9. Review Before Processing

Reusable templates reduce repetitive configuration, but the inserted rules should still be reviewed before processing a document.

Before applying a template, verify:

  • The correct template is selected.
  • The rules are appropriate for the current document.
  • The replacement values are correct.
  • Required sensitive information is covered.
  • No document-specific rule is missing.

A template provides a reusable starting point; it does not remove the need to review the rules for the current document-processing task.

10. Why Use Reusable Rule Templates?

  • Reduce repetitive work — Create a rule set once and reuse it.
